Yes — Amazon FBA and ecommerce sellers can use a virtual office in Ontario, but only as a registered office and mail address, not as a warehouse. You still need a real street address for incorporation, CRA, and your bank. We do not store inventory or offer fulfillment.
That distinction is the whole post. Fulfillment by Amazon is a logistics product. A virtual office is a compliance and mail product. Mixing them up is how sellers end up with a rejected Seller Central file, a CRA letter at the wrong door, or inventory sitting in a spare bedroom that was never meant to be a warehouse.
Why FBA sellers need a registered office, not a warehouse
If you sell from Ontario as a corporation (or you register a business name as a sole proprietor), the government needs a place where it can serve documents. That place is your registered office. It has to be a physical street address in Ontario. It does not have to be where your goods sit.
Amazon FBA already answers the warehouse question: inventory you send into FBA is stored and shipped by Amazon from its fulfilment network. You still need:
- an Ontario registered office if you incorporate (or a business address on a sole-proprietorship registration)
- a CRA address for your Business Number, GST/HST, and later payroll if you hire
- a bank address that matches your government record
- a place that can receive government mail, bank kits, and the occasional Amazon or CRA verification letter
None of those jobs is “pallet storage.” For the registration mechanics, see using a virtual office address to register a business in Ontario.
What a virtual office can — and cannot — do
A qualifying virtual office at Markham Office is a real suite in a staffed Class-A building at 1005-3601 Highway 7 East, Markham. Plans start at $49/month. You get the street address, mail handling, and a professional number people can actually call.
You can use that address for:
- Ontario (or federal) incorporation as the registered office
- CRA Business Number, HST, and payroll accounts
- a business bank account application
- website, invoices, and often Seller Central, if the address matches your registry documents
You cannot use it as:
- Amazon FBA inventory storage
- a 3PL or pick-and-pack warehouse
- a returns depot for customer parcels we did not agree to receive as ordinary business mail
- a P.O. box substitute that we pretend is a warehouse
We do not operate an Amazon warehouse and we do not offer fulfillment. If you need inbound freight, labelling, or last-mile, that is a different vendor — Amazon itself, or a 3PL you hire on purpose.
P.O. box vs street address
Ontario’s incorporation instructions are blunt: the registered office must be a physical location in Ontario. A P.O. box alone is not acceptable. That is why a Canada Post box, a “suite” that is really a mailbox store, or a scan-only virtual mailbox is a weak foundation for an FBA company.
Amazon’s seller onboarding asks for the registered business address on your government documents and for proof of address (a bank statement, utility bill, or similar, generally dated within 180 days). A P.O. box fails the Ontario test and usually fails the marketplace test in the same week.
Use one exact format everywhere: unit, street, city, province, postal code. That consistency is the same NAP discipline we talk about in local SEO, and it is what credit officers and Amazon reviewers actually match.
CRA Business Number, HST, and the $30,000 line
A business number is the CRA’s nine-digit file for your company. An HST account (RT) is one program account hanging off that number. Corporations usually receive a BN at incorporation; sole proprietors add one when they need HST, payroll, or import-export. Details are in Do I need a business number and HST account?.
You are a small supplier — and not required to register for GST/HST — while worldwide taxable supplies stay at or under $30,000 in a single calendar quarter and over the last four consecutive calendar quarters (CRA, RC4022). Cross either test and you must register. If you blow through $30,000 inside one quarter, you charge tax on the supply that put you over and you generally have 29 days to register.
FBA and ecommerce revenue is still taxable supplies. Zero-rated exports can still count toward the threshold even when the tax rate on the sale is 0%. Marketplace facilitator rules can change who remits on a given sale — that is a conversation with your accountant, not something a virtual office changes.
Voluntary registration before $30,000 is allowed. The trade-off is filing returns in exchange for input tax credits on your setup costs (product samples, software, professional fees). Many sellers register early because Amazon and wholesale buyers expect an HST number on the invoice.
Put the same street address on the HST account that you put on the Ontario registry. CRA mail is how assessments and account-closure letters arrive. A P.O. box is a poor plan here too.
Mail, returns, and keeping your home off the public record
Your registered office address is public on the Ontario Business Registry. If that address is your condo, anyone who searches the corporation can see it. That is the privacy problem keeping your home address private when incorporating is written for.
A virtual office fixes the public-record problem. It does not make you anonymous to the CRA, the bank, or Amazon. Those bodies still need a reachable address and, often, ID of the directors.
On mail:
- government and bank envelopes should come to the registered office
- we handle ordinary business mail at the Markham suite
- customer product returns are not the same as mail; do not assume a virtual office is your returns warehouse
- if Amazon or a payment provider sends a postcard or courier for verification, someone has to be able to receive it at a real suite
How to set this up, in order
- Decide the legal structure (sole proprietorship vs Ontario corporation). Ecommerce sellers who want limited liability and a clean bank file usually incorporate.
- Take a real street address — not a P.O. box — as the registered office. Our virtual office is built for that use.
- File the Ontario (or federal) registration with that address.
- Open the CRA BN / HST account with the same address. Watch the $30,000 taxable-supply tests from day one.
- Open the business bank account. Banks compare the registry extract to the address you typed.
- Create or convert the Amazon account so Seller Central, the registry, CRA, and the bank all show the same legal name and address.
- Send inventory into Amazon’s FBA network (or a 3PL you actually contracted). Do not ship pallets to 3601 Highway 7 East and expect us to receive them as FBA inbound.
If you also want a room to film listing videos or meet a supplier, book a meeting room by the hour in the same building. That is still not a warehouse.
Get the address layer right
Markham Office’s virtual office is the registered-office and mail layer for Ontario sellers: Class-A Highway 7 address, suite 1005, mail handling, from $49/month. Call (905) 305-7800 if you want to confirm the address format before you file. We will not pretend to fulfil your orders.
